Payment Election Process for Academic Employees

The election process for faculty that would like to have their 9, 9.5, or 10-month salaries
paid over 12 months is now available through ARES.

As you may know faculty members can elect to have their 9, 9.5, and 10-month salaries paid over 12
months once per calendar year. Likewise, faculty members can also elect, once per year, to have
their 9, 9.5, or 10-month salaries currently paid over 12 months changed back to 9, 9.5, or 10-month
paid over 22 pay periods. The time frame to make either of these changes begins with pay period 26
(6/4/2023) through the transaction deadline of pay period 4 (8/8/2023). If the faculty member misses
this deadline, they must wait until the next election cycle to change their current payment
election.

You may forward the following instructions to your regular faculty members (only) while stressing
the election deadline of 8/8/2023 and the salary change effective date of pay period 4 8/18/2023.

The electronic election process has been incorporated into the PHR system and made available for
faculty through the university's ARES web page. The instructions that all faculty members must
follow to change their current payment election are as follows:

1. Access www.ares.umd.edu
2. Click "Login" and enter your University ID (Directory ID or UID) and
your password
3. Click "Payroll & Human Resources"
4. Click "Access Personal PHR Information"
5. Click "Employment Info" at the top of the page
6. Click the active link next to your current "Payment Method"
7. You will be viewing a page that will detail your change from 22 pay to 12 months or 12 months
back to 22 pay (if applicable). Please read through the text and if you agree, place a checkmark in
front of "*I elect to have my academic year salary paid over 26pay periods.*"
7. Click "Submit."

The new payment election will be retained in the PHR system and beginning with the pay period 4
paycheck issued 8/18/2023 faculty members will be paid their salary over 26 pay periods or back to
22 pays (if applicable). Also, effective September of 2023 health benefit premium payments should
change to reflect the new 12-month payment status. Please keep in mind, if the faculty member does
not make this change prior to 8/8/2023, they will have to wait until next year to elect this change.
