Pay Adjustments Audit ($100,000+)

Payroll Services audit is necessary for certain pay adjustments; these are shown on a daily basis. Among them, pay adjustments equal to or greater than $100,000 require additional pre-approval by the Controller. The process is as follows:

  • The department enters the pay adjustments for processing as normal.
  • The department notifies the Controller prior to processing the pay adjustments ($100,000+). Include the following information in the notification, copy the Assistant Controller Payroll Services and Payroll Manager:
    • UID
    • Name
    • Adjustment amount
    • Reason
    • Supporting documentation
  • Payroll Services take the payroll audit report to the Controller.
  • The Controller reviews the documentation and/or the audit report and contact the department for any questions.
  • Once the Controller approves these payments, the Controller will either sign the audit report and return it to Payroll Services, or provide written approval electronically.
  • Once written approval is received from the Controller, Payroll Services approves the audit for the payment during that pay period.
  • Payroll Services will attempt to contact the Controller to resolve any issues until the final day of processing. If written approval from the Controller is not received in time, the pay adjustments will be returned to the department and not paid for that pay period.
